Job Description:

Position Summary

The Human Resources Administrator develops, implements, and administers policies and programs concerning; employment, employee relations, benefits, employee development, compensation, payroll, workers’ compensation, safety, performance management, legal compliance, and EEO. Provides advice and counsel to managers and employees to enhance the effectiveness of the organizations’ human resources. Communicates broadly within the organizations to keep their supervisor and all staff apprised of changes or enhancements within the HR program area. In all activities and interactions, maintains a positive work atmosphere by performing and communicating in a manner that gets along with members, clients, coworkers, and supervisors.

Position Responsibilities 

  • Administers all aspects of Food Export’s benefits programs. Reviews and approves all invoices from providers and ensures compliance with all government laws.
  • Administers the payroll process in conjunction with outside payroll service to ensure accurate and timely bi-monthly payrolls, including base pay and bonuses.
  • Ensures legal compliance with all local, federal, and state regulations applicable to the human resources area such as: Civil Rights Act, Americans with Disabilities Act (ADA), Health Insurance Portability and Accountability Act (HIPAA), and the Occupational Safety and Health Act (OSHA).
  • Evaluates the effectiveness of existing human resource programs to ensure they continue to meet their designed purposes. Makes recommendations to company management regarding changes in policies and procedures.
  • Maintains all Human Resources related records, including separate file systems for personnel records, benefits records, employment selection process records, I-9 forms (IRCA), payroll records, affirmative action/equal employment related records, workers’ compensation related records, records related to complaint investigations and employee performance issues.
  • Coordinates recruitment and employment process for jobs within Food Export and assists management with their recruitment and employment process.
  • Assists management with salary administration, job description, and performance management processes. Coordinates completion of job descriptions and the determination of FLSA exemption status.
  • Assists in coordinating employee recognition programs. Identify, prepare, and distribute acknowledgements for key milestones such as professional anniversaries. Coordinates annual celebrations to recognize completion of large projects as well as annual holidays.
  • Assists management and staff with training and development by providing access to training information, classes, and programs. Periodically forwards information that could meet training needs.
  • Coordinates the processing of expense reports (review, coding, and approval) for staff traveling to conferences and events utilizing non program funds.
  • Coordinates staff trainings such as sexual harassment prevention, unconscious bias, DEI, etc. Additionally, coordinates all staff trainings required by the federal government on an annual basis.
  • Works with the Deputy Directors and Program Managers to organize, track, and disseminate staff travel approvals on an annual basis.

Requirements:

Education/Experience

  • This position requires a bachelor’s degree in human resources management, business administration, or a related field. A master’s degree in business, human resources, or related field is preferred. At least 5-7 years of experience working in a Senior Human Resources role.

Technical Experience

  • Proficiency in ADP Workforce, ADP Payroll, Employee Navigator, and Microsoft Office Suite. Experience utilizing Customer Relationship management software, preferably MS Dynamics.

Core Competencies

  • Knowledge of human resources systems, policies, and practices, including but not limited to; recruitment, selection, compensation, benefits, payroll, job description, non-discrimination, safety-security, promotion, discipline, performance management, and termination.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, insurance language and standards, or governmental regulations. Ability to prepare reports, business correspondence, and policies and procedures. Ability to effectively present information and respond to questions from groups of managers, vendors, and other employees of the organization.
  • Requires math and statistical skills including ability to add, subtract, multiply, and divide, using whole numbers, fractions, and decimals. Requires ability to compute ratios and percentages and to develop graphs and charts.

  • Work is performed in a standard office environment.
  • This position requires light duty physical work including carrying multiple files and printed materials; conducting general office duties; participation in trade shows; and market promotions.

Food Export Association of the Midwest USA is a non-profit organization that promotes the export of food and agricultural products from the Midwest region of the US. The organization has been helping exporters of Midwest food and agricultural products sell their products overseas since 1969, when it was first created as a cooperative effort between 13 Midwest state agricultural promotion agencies and the United States Department of Agriculture’s Foreign Agricultural Service (FAS). 

Food Export USA – Northeast is a private, non-profit trade association of Northeast state agricultural promotion agencies. Our mission is the development and expansion of international markets for U.S. food and value-added agricultural products. We participate in the Market Access Program (MAP) of the Foreign Agricultural Service of USDA.

Responsibilities:

Assists Food Export – Midwest/Northeast staff with implementing and tracking International Marketing program activities (including buyers’ missions at U.S., trade missions, trade shows abroad, and market research).  More specifically the position involves:

  • Tracking company inquiries, participation, and evaluations in our database.  Information will be used to design queries to market programs and services to appropriate groups.
  • Researching company contact information including website, email, and mailing addresses to increase the total population of companies that Food Export – Midwest/Northeast is able to reach.
  • Updating U.S. exporting companies in our database and keeping our online trade leads updated.
  • Contacting companies via phone to encourage participation in Food Export – Midwest/Northeast Programs and/or follow-up for proper registration forms.
  • Assisting Food Export-Midwest/Northeast staff with writing success stories about small and medium size food and agricultural exporters.
  • Preparing and sending materials for foreign buyers and U.S. exporters who participate in Food Export – Midwest/Northeast activities.
  • Contributing to the administrative tasks of keeping program files up to date as well as providing clerical support to the program team.
  • Undertaking special research and other projects & tasks as directed by Food Export – Midwest/Northeast staff

Position Qualifications:

  • Current Undergraduate or Graduate Student
  • Strong PC skills, specifically Microsoft Office
  • Able to communicate effectively with people by telephone or in-person
  • Interest in International Business/Trade
  • Strong organizational skills and the ability to prioritize work from multiple supervisors
  • Ability to work independently and know when to seek more information or assistance

Student learning outcomes:

Through this internship, students will have the opportunity to develop:

  • Experience working in an office environment, familiarity with typical skills such as filing, scanning & copying, attending staff meetings, professional communication via phone, email, and face to face interaction
  • Experience working across and prioritizing tasks from multiple projects. Intern will work with 1 direct supervisor, but receive training and mentorship from all members of the International Marketing Program and other coworkers. The Food Export office staff is very open to questions, shadowing phone calls and tasks, and tries to promote the individual skills of each intern by developing projects that the intern is interested in and can see through from start to finish.
  • An understanding of outreach, recruitment, event coordination, and strategies and methods for participation tracking
  • An understanding of the interaction between state governments, regional trade groups, and US food/agriculture exports
  • An understanding of the Market Access Program funding provided by the USDA

Position Details:

  • Pay:  $14.00 to $16.00 per hour.
  • Must be eligible to work in the United States
  • Eligibility of Benefits:  This position is not eligible for benefits.
  • Pay schedule:  Bimonthly, on the 5th and 20th of the month.
  • Maximum number of hours to be worked weekly: 28 hours

Position Summary

The Marketing and Communications Coordinator works in collaboration with program team members, helps coordinate the development and implementation of marketing initiatives to build support for and promote Food Export-Midwest and Food Export-Northeast programs and services. The position is also responsible for leading the development of print and digital assets and digital communications to support marketing efforts and the execution of Food Export programs and services. In all activities maintains a positive work atmosphere by performing and communicating in a manner that gets along with members, clients, coworkers and supervisors.

Position Responsibilities 

  •  Leads in the creation of email campaigns for program areas utilizing Microsoft Customer Insights – Journeys (formerly Microsoft Dynamics Marketing) or similar program.
  • Leads efforts to plan and coordinate the development of marketing campaigns, marketing/promotional collateral and other initiatives to promote Food Export-Midwest and Food Export-Northeast.
  • Creates social media content and schedules same in coordination of content calendar while adhering to brand standards.
  • Provide graphic design solutions and create and/or coordinate development and production of a variety of print and digital assets, digital communications, and other Food Export-branded materials.
  • Leads in the development of an annual content communications plan/strategy.
  • Supports the team through providing updates to website content and templates in the Content Management System.
  • Analyzes results from email marketing and social media campaigns and offers insights and solutions.
  • Provides operational support and guidance to the Marketing and Communications team and contributes to organization-wide projects and initiatives.

Requirements:

Education/Experience

  • Requires completion of a bachelor’s degree in related field and a minimum of three to five years editorial/content, marketing/promotion, email marketing, communications creation experience.

Technical Experience

  • Proficiency or better in Adobe InDesign, Photoshop, Acrobat and MS Office Suite.
  • Three to five years of experience with social media creation and management, Email Marketing and related analytics.
  • Proficiency in Canva preferred.
  • Proficiency in video editing preferred.

Core Competencies

  • Requires excellent communication skills.
  • Self-motivated, self-starter.
  • Well organized, detail-oriented.
  • Must be able to prepare various oral and written content.

Physical Demands/Work Environment
